Scheduling Events: Annual Process
Each spring, we embark on the annual calendaring process for the next fiscal year (July - June), which begins in March and is completed by mid June. The process is outlined below:
- The clergy and staff begin the calendaring process by reviewing and adding programs/events in this order:
- 1. Worship Services & Lifecycle Events
- 2. Holiday, Festival & Special Shabbat Programs
- 3. Synagogue-wide Special Events/Programs & Annual Fundraiser
- 4. Religious School & CECE Schedule
- 5. Clergy-led Programs & Lifelong Learning Classes
- The next set of events to be reviewed & approved to be added to the calendar are:
- 6. Social Action Programs (if not already included in the above list)
- 7. Auxiliaries - Brotherhood & Sisterhood Events
- Once these events are added to the calendar, the calendar is shared with Program Leaders & Committee Chairs, who may propose an event/program to be added to the annual calendar. Please follow this process to request an event:
- Step 1: Complete an Event Proposal Form. Make sure to provide as much detail as possible and answer each section. Please be mindful of other events already on the calendar that could be a good collaboration with your group's goals/mission - perhaps your program and efforts can be included in something already scheduled as an added benefit/draw. Discuss this with your liaison.
- Step 2: Your submitted form will be reviewed by a staff committee. For events that are more complex, the congregation president/executive committee may also be consulted.
- Step 3: Someone will follow up with you with either a yes/no to proceed or a request for additional information.
- Step 4: Once an event is approved, it will be added to both the synagogue's internal calendar and web (public facing) calendar. Do not proceed without securing approval for the event and clearing the date.
- Step 5: Refer to the logistics and promotion processes and tips for your approved event.

Scheduling Events: Outside of Annual Process
- If you would like to propose an event/program to be added to the calendar outside of the annual calendar process, please follow the same steps above.
- The calendar fills up quickly. While we want to be accommodating, there are times when the building, programs, promotional opportunities, budget and/or clergy & support staff are at max capacity and we may not able able to approve your event/program to take place on-site or promoted outside of your existing committee group.
