Event Promotion

Process: Promoting your Group's Event/Promotion

 

It's important to plan ahead in order to take advantage of the most promotion for your event. While we do not guarantee promotion, we will try our best to use different communication vehicles to get the word out! Our first step is to add details about your event to our website calendar. Please send the following to Judy Trias:

  • Event Title/Name
  • Date/Time
  • Brief Description
  • Contact Information
  • RSVP Link and Deadline (if applicable)
  • High Resolution Photo if you have one available (actual image size if sending from your mobile device)

Suggested Timing to Secure Advance Promotion

 

  • Spotlight - minimum the 10th of the month prior to the issue date. Spotlight is our full color e-magazine e-mailed to the homes of all members around the 1st of September, November, January, March, May, & July. Articles and event details/photos should be sent to Judy Trias and Ellen Wichterman
  • Beth Or Billboard (BOB) - lobby electronic signs - minimum 4 weeks before your event's RSVP Deadline. Send your full color slide to Judy Trias.  If this is your first time creating a BOB slide, contact Jill Bascove for specs. (If you need design assistance, please allow for extra time and contact Judy Trias who will coordinate with Jill. Design assistance is dependent on what other projects are in the queue.)  
  • Chai Lights - weekly email distributed on Monday. Typically we will pick up event information from the description published on the web calendar, which may be shortened to fit the e-mail format. Promotion in Chai Lights is dependent on the type and number of events coming up.
  • Order of Service Sheet - minimum 2 weeks before your event. Send information to Laura Goldberg. Space is very limited; placement can not be guaranteed.
  • Beth Or App - If your event has an RSVP, it will be added to the RSVP portal which is available on the mobile app
  • Other: If you create a flyer, brochure, or booklet for your event, we will include it in the display rack in the lobby. We suggest including a QR code that links to the RSVP for your event. We do not send flyers home with students as we have found they rarely make it home. If you would like to create any other type of signage/poster to be used on-site, it must be cleared through Phil Nordlinger first as there is limited space available.

Other Suggestions to Get the Word Out

 

  • E-mail or text your committee/group and ask them to share the details with their friends. We call this "text a friend" and have found this personal touch to be highly effective and often the most effective way to increase event attendance/participation.
  • Use your personal social media channels to post event details and/or link to an invitation/RSVP. Tag @CongBethOr in stories you create and post in your social media. When you do this, your story will appear on Beth Or's Instagram or Facebook stories, or your post may appear in the the feed of those who follow Beth Or. 
  • Contact or send a press release before/after the event to the Jewish Exponent and relevant local papers/news media. 
  • Take high quality, engaging photos during your event. Send the best ones to Judy Trias or Jill Bascove to add to our Beth Or photo library to use for future promotions. Be sure to send highest resolution possible - if using your cell phone, select "Actual Image Size" when sending the photos to us. Be sure at least a few of your pictures are taken in landscape (horizontal) orientation. If you have multiple photos, we encourage you to add them directly to the Beth Or Google Photo Drive - please contact Jill for the link and instructions.
